What to include in an HVAC supplier enquiry

MSC Sourcing editorial guide · 19 October 2026

Start with a project brief

Describe the building or project, the intended system role, delivery location and project timetable. Attach the specifications prepared by the responsible project professional. Buyers should ask a qualified designer or installer to confirm suitability rather than select equipment from a catalogue image alone.

Ask for model-specific information

Request the exact model reference, technical documentation, installation requirements and the proposed service arrangements. Ask the supplier to identify any substitutions in writing. Keep accessories, controls and commissioning scope visible as separate quotation lines.

Compare delivery and support

Record what the supplier will deliver, who will install it, which services are included and how support requests will be handled. Confirm the written warranty terms and exclusions for the destination. Resolve open questions before agreeing the purchase.
